Optimizing Real Estate Listings: Standards, Approvals, and Key Metrics for Large Portfolios

EverReal Editorial Team. 450+ real estate companies have chosen EverReal. Last updated: October 2026.
Problem: If the same apartment appears on each portal with different details, inquiries will flood your inbox. Cause: If property data, ad copy, approval, and inquiries reside in four different places, each unit may be handled by a different person. Thesis: For large portfolios, what matters is an advertising standard that the team checks before publishing, not the individual copy.
How can property listings in an existing portfolio be optimized?
You can optimize property listings in your portfolio using an advertising standard. It defines which mandatory details, wording, and approvals every listing must meet before going live. A copywriting guide helps with drafting, while the standard verifies the result. This prevents missing mandatory information under Section 87 GModG, prohibited wording under the AGG (General Act on Equal Treatment), and gaps that trigger follow-up questions before they recur in every listing.
Why portfolio listings diverge
How the text of a single listing is created is a topic of its own. Here, the focus is on what happens across many units: for one apartment, the copy is decisive; for many, what happens before writing and after publishing is what counts. Without a standard, three breaking points emerge across large portfolios.
2.1 Data is incorrect at the source. Living area, service charges, year of construction, and energy performance certificates are stored in the ERP system, in a spreadsheet, or in a property folder. Whoever writes the ad retypes the data or asks around. Any discrepancy then ends up on multiple portals.
2.2 Without a fixed sequence, everyone writes differently. Title, order, and choice of words then depend on who is on duty. This can lead to an inconsistent appearance that no one reviews anymore.
2.3 Without an approval process, the listing goes live as soon as it is finished. Missing mandatory information, inappropriate wording, and incorrect prices are only noticed once they start triggering inquiries.
Why gaps in portfolio data become more expensive
Three points demonstrate why an inaccuracy in the portfolio turns into a risk.
Mandatory information. If a property listing is placed in commercial media and an energy performance certificate is available, it must contain the details required under Section 87 GModG. Since July 29, 2026, the law has been called the Building Modernization Act (GModG), formerly the Building Energy Act (GEG). An intentional or negligent violation of Section 87 in the version applicable until December 31, 2026, is subject to fines under Section 108 GModG, with penalties of up to 10,000 euros. A gap in the data repeats itself with every publication.
Equal treatment. The prohibition of discrimination under Section 19 AGG applies to bulk transactions; for reasons of race or ethnic origin under Section 19 (2) AGG, it also applies beyond bulk transactions. For all other grounds: Letting living space for not merely temporary use is generally not considered a bulk transaction if the landlord lets no more than 50 apartments in total (Section 19 (5) sentence 3 AGG). Anyone letting more apartments cannot rely on this exception. According to the statutory wording, the decisive factor is the landlord; whose apartments count in the case of a property management company is not explicitly regulated by law. Clarify this with a specialized attorney. Wording copied by the team into every listing replicates every error it contains. Discrimination can give rise to claims for damages and compensation under Section 21 AGG.
Portal budget. Every listing ties up money on one or more portals as long as the apartment remains vacant. The portal budget section below breaks down the math.
Designing property listings: a one-page listing standard
Ad design in property portfolios means: Every listing follows the same rows. The following template is not statutory law. Adapt roles and fields to your organization. What matters is that every row has a verification step before the listing goes live, and that the approval process checks off the rows rather than evaluating style.
Building Block | Standard Rule | Data Source | Verification |
|---|---|---|---|
Property Data | Listing remains a draft until location, area, basic rent, service charges, and availability are filled in | Master data in the ERP system | Case Manager / Clerk |
Energy Certificate | If a certificate is available, all information required by Section 87 GModG is included in the listing; issue date is recorded in the ERP system | Energy certificate, ERP system | Approval |
Title and Description | Fixed order of details, building blocks from the phrasing catalog | Catalog | Case Manager / Clerk |
Exclusion List | No information regarding age, gender, ethnic origin, religion, disability, or sexual identity of applicants | Catalog | Approval |
Photos | Fixed order: Exterior, living area, kitchen, bathroom, floor plan | Property folder | Case Manager / Clerk |
Portal and Duration | Determined by property type; deviations require justification | Portal budget | Team Lead |
Archive | Published wording saved by portal and date | Published listing | Approval |
Ensure property data is complete at the source
Define which fields in the ERP system are mandatory before an apartment can be marked as vacant: floor areas, costs, year of construction, energy certificate including issue date, and photos. The listing then extracts the data automatically rather than the team retyping it. EverReal can import master data, images, and texts from ImmoScout24 or via OpenImmo from a marketing system and create the listing once for all connected portals; certificate type, energy rating, energy source, building construction year, and efficiency class according to the energy certificate are maintained directly in EverReal.
Implement an approval step before every publication
A second person reviews the checklist rows of the standard before the listing goes live. That is the core of process standards: deviations are justified within the file, and cover arrangements are defined so that vacations do not delay a listing. The approved wording is saved by portal and date, because if an applicant presents circumstantial evidence of discrimination, the landlord bears the burden of proof (Section 22 AGG).
Maintain a phrasing catalog
The catalog contains building blocks for titles and descriptions as well as an exclusion list covering the criteria of Section 19 (1) AGG: age, gender, ethnic origin, religion, disability, and sexual identity of applicants. Describe the apartment instead of the desired tenants: “Two rooms, fourth floor, walk-up access only” instead of “ideal for young couples” or “Germans only”. The criteria by which you pre-screen inquiries also belong in this catalog.
Lead management: handle inquiries and applications in one place
Inquiries from all portals belong in a shared inbox and assigned to the relevant unit: EverReal consolidates them in a central inbox and links them to the correct property, while templates, automated notifications, and bulk messaging handle large portions of the communication. In addition, you can set up approval workflows for applicants and contracts in EverReal. Count the follow-up questions per unit. The most common question reveals what information is missing from the listing; that detail belongs in the standard (read more: reducing inquiries). The German Data Protection Conference (DSK) has published an orientation guide on collecting self-disclosures from prospective tenants.
Track key performance indicators per listing
Track views and contact inquiries per listing and portal (to the extent reported by the portal), along with viewings, days from vacancy start to lease start, and costs per let. High view counts with few inquiries point to price or property details; low view counts suggest issues with title, photos, or placement. Compare similar units with one another rather than using portfolio averages; further letting process KPIs are explained in our KPI article.
Property listings in portfolio management: standard first, copy second
Any team can polish a single listing text. What is decisive is what happens before and after the text: mandatory fields drawn from data, an approval workflow, a phrasing catalog, and KPIs per listing. The broader framework can be found in our guide on optimizing the letting process.
EverReal lets you create listings once and publish them across desired portals, consolidates inquiries in lead management with a central inbox, and displays status, portal publication, and leads per listing. 450+ real estate companies have chosen EverReal. Mandatory information under Section 87 GModG for portfolios: two versions from 2027
If an energy certificate is available at the time the listing is placed, Section 87 GModG outlines the mandatory details required for ads in commercial media. The obligation falls on whoever is responsible for publishing the listing—namely sellers, landlords, lessors, leasors, or estate agents. Property managers are not explicitly named in the statute. The provision is being revised effective January 1, 2027 (Federal Law Gazette 2026 I No. 226, Art. 2). For certificates issued prior to that date, the previous disclosure requirements remain applicable, governed by Section 112 GModG in the version effective from 2027. An energy certificate is valid for ten years (Section 79 GModG), meaning both statutory versions will coexist side by side in a portfolio for years. Record the issue date of each certificate in your ERP system so that every listing meets the appropriate checklist.
Listing Information | Certificate issued by 31 Dec 2026 | Certificate issued from 01 Jan 2027 |
|---|---|---|
Certificate type | Energy demand or consumption certificate | Energy demand or consumption certificate |
Energy rating | Final energy demand or final energy consumption | Annual primary energy demand in kilowatt-hours per year and square meter of usable floor space |
Primary heating energy sources | yes | yes |
Year of building construction | yes | yes |
Energy efficiency rating | yes | yes |
Date of issue | not required | yes |
The table covers residential buildings. For non-residential buildings, the law provides special rules in the version applicable until December 31, 2026 (column “Certificate issued by 31 Dec 2026”); Section 87 in the version applicable from 2027 onwards does not differentiate by building type. Further details can be found in our article on the energy certificate in listings.
Listing costs and portal budget: cost per let instead of price per ad
Each portal determines and changes its packages, runtimes, and placement options independently. For commercial providers, ImmoScout24 offers options such as Top, Premium, and Showcase placement (as of October 2026); the product page does not list prices. What a specific tier costs is therefore found in your contract and booking invoices.
Manage portals like any other budget line item. A higher tier is worthwhile if it shortens the days between the start of vacancy and the start of the lease—and comparing similar units will show whether it does. The calculation is straightforward:
Line Item | Source |
|---|---|
Portal costs per listing and duration | Contract, booking invoice |
Preparation: photos, text, approval | Time tracking or service provider invoice |
Vacancy: basic rent divided by 30, multiplied by days from vacancy start to lease start | Tenancy agreement, ERP system |
Total divided by the number of lettings equals the cost per let | Internal evaluation |
If you do not want to manage individual portal contracts, you can use the optional Flexible Listing module: you can then book listings on additional portals (Immowelt, Kleinanzeigen, meinestadt.de) directly via EverReal, without needing your own portal contract.

Frequently Asked Questions
How can property listings be optimized for large portfolios?
With an advertising standard applied prior to publication. Mandatory fields are read directly from property data rather than manually typed, a second person approves every listing, a phrasing catalog establishes building blocks and an exclusion list, and KPIs per listing show which unit needs which portal. More important than individual copy is ensuring that no listing goes online without this review.
What mandatory details under Section 87 GModG apply to portfolio listings, including from 2027?
In real estate portfolios, two versions will coexist side by side from 2027 onwards, depending on the energy certificate’s issue date. If a listing is placed in commercial media and an energy certificate is available, it must contain five details for residential properties: the certificate type (demand or consumption certificate), the final energy demand or consumption, the primary heating energy sources, the year of construction, and the energy efficiency rating. For energy certificates issued on or after January 1, 2027, a new version applies requiring the issue date and annual primary energy demand; for older certificates, the previous disclosures remain decisive. An intentional or negligent violation of Section 87 in the version effective until December 31, 2026, carries fines under Section 108 GModG of up to 10,000 euros.
What must not appear in a rental ad under the AGG?
Details that exclude or favor applicants based on race or ethnic origin, gender, religion, disability, age, or sexual identity, such as “Germans only” or “ideal for young couples”. The prohibition of Section 19 AGG applies to bulk transactions; for reasons of race or ethnic origin under Section 19 (2) AGG, it also applies beyond bulk transactions. For all other grounds: Letting living space for not merely temporary use is generally not considered a bulk transaction under Section 19 (5) sentence 3 AGG if the landlord lets no more than 50 apartments in total; anyone letting more apartments cannot rely on this exception. According to the statutory wording, the decisive factor is the landlord; whose apartments count in the case of a property management company is not explicitly regulated by law. Clarify this with a specialized attorney. In any case, describe the apartment rather than the desired tenants.
Which key performance indicators show whether a property listing is working?
Views and contact inquiries per listing and portal (to the extent reported by the portal), alongside viewings, days from vacancy start to lease start, and costs per let. High view counts with few inquiries point to price or property details; low view counts suggest issues with title, photos, or placement. Compare similar units with one another rather than using portfolio averages.
How do property managers plan portal costs in the budget?
As a dedicated line item calculated per let: portal costs per listing and duration, listing preparation, and vacancy costs (basic rent divided by 30, multiplied by days from vacancy start to lease start), all divided by the total number of lettings. Packages, runtimes, and pricing are defined by each portal individually, with values specified in contracts and booking invoices. A higher placement tier is worthwhile if it reduces the days from vacancy start to lease start.
How does EverReal support listing publication and management?
EverReal lets you create listings once and publish them across all desired portals. Master data, images, and texts can be imported from ImmoScout24 or via OpenImmo from a marketing system; certificate type, energy rating, energy source, building construction year, and efficiency class according to the energy certificate are maintained directly in EverReal. All listings are centrally consolidated, showing status, portal publication, and leads, while inquiries from all portals are gathered in a central inbox and linked to the correct property. With the optional Flexible Listing module, you can book listings on additional portals (Immowelt, Kleinanzeigen, meinestadt.de) directly through EverReal without needing your own portal contract.
